DayTours4U & Argentina4U aimed to enhance their customer support experience while reducing operational costs. Key challenges included:

  • High reliance on human agents for tour bookings, inquiries, and modifications.
  • Difficulty managing real-time tour availability and dynamic pricing across multiple destinations and currencies.
  • Need for a natural, personalized experience for multilingual customers (English & Spanish).
  • Ensuring compliance with cancellation and refund policies while scaling operations.

Solution

We implemented a two-pronged solution combining custom Magento 2 API development and vapi.ai Voice Agent integration:

1. Magento 2 Custom API Development
  • Tour Info & Equipment API: Returned details like destination, tour type, pricing tiers, language options, and included amenities (e.g., hotel pickup, guide language).
  • Availability & Price API: Real-time lookup of tour slots with support for seasonal pricing, multi-currency, and peak/off-peak logic.
  • Booking API: Enabled the voice agent to:
    • Create customer profiles (new & returning).
    • Apply discounts and promotional codes.
    • Handle multi-participant tours and optional add-ons (e.g., airport transfers).
  • Booking Modifications & Cancellations: Enforced policies like 48-hour refund windows with built-in validation.
  • Google Calendar Integration: Synced appointments and private tour requests with sales team calendars.
2. vapi.ai Voice Agent Configuration
  • Natural Persona Design: Friendly, travel-focused voice with context-aware prompts.
  • Function Calling: Allowed the agent to query availability, fetch pricing, reserve tours, and process payments.
  • Multilingual Support: Seamless English & Spanish interactions with automatic language detection and fallback logic.
  • Knowledge Base & RAG Pipeline:
    • Embedded tour FAQs, policy docs, and SOPs using a vector database.
    • Ensured accurate, up-to-date responses with minimal hallucination.
  • Post-Call Alerts: Automated email summaries to sales inboxes and urgent SMS alerts via Twilio for high-priority issues.
